How we collect, use and protect the information you share with Vanguard Construction.

Who we are

Information we collect
We collect the information you provide through our contact and quote forms, such as your name, email address, phone number, company and project details. When you use a portal account we also hold the documents, photographs and messages you upload, along with a record of when you signed in.
Technical information
Our server records the IP address and browser of requests to our forms, in order to rate-limit abuse and to investigate it when it happens. We do not build a profile of your browsing and we do not combine this with information from other sites.
Cookies
We use one cookie, which holds your session so that a portal stays signed in as you move between pages. It contains no personal information and expires when you sign out. We do not use advertising cookies, tracking pixels or third-party analytics.
Third-party services
The map on our service areas page is drawn using map tiles served by OpenStreetMap, which means your browser contacts their servers and your IP address is visible to them. Email is delivered through our hosting provider. Apart from these, we do not pass your information to third parties, and we never sell it.
How we use it
We use your information to respond to enquiries, prepare estimates, manage client and contractor portal accounts, and communicate about projects you are involved in.
Portal accounts
Documents and photographs you upload to a portal are visible to the other members of that project and to our staff. They are not published publicly unless an image is explicitly approved for the portfolio, and even then only the image, never your contact details.
Retention
Enquiry records are kept for as long as we need them for business and legal purposes. Portal documents are retained for the duration of the project and for a reasonable period afterwards, after which they are deleted. Contract records are kept for the period required by Oregon law.
Your rights
You can ask us at any time to see, correct or delete the personal information we hold about you, and to stop contacting you. Write to build@vanguardgc.net and we will respond within a reasonable period. If you are not satisfied with our answer you can complain to the Oregon Attorney General.
Security
Passwords are stored using a one-way hash, never in a readable form. All forms are protected against cross-site request forgery, uploaded files are validated by their content rather than their extension, portal files are stored outside the public web folder, and the site is served over encrypted HTTPS.
